45 Reasons to Use Online Registration Software

1. Eliminate Data Entry. Traditional forms of registration rely on fax or mail-in registration. This means event organisers must manually enter all the data from the registrants into a computer, or worse, create some kind of paper filing system. The potential for errors is significant and the time it takes to manually organise the data can be excessive. With online registration, the registrant enters their information into an online form. When the registrants submit their information through this form, it is automatically organised and stored in an online database that the organiser can immediately access, anywhere, anytime.

2. Built in logic. An online registration form can prevent people from making invalid or conflicting selections, and results in more accurate and complete data. For example, if someone leaves an important section blank and tries to submit the form, the built in logic of the form can create a message asking the person to fill that section in before continuing. Similarly, if a registrant must choose between one option or another, the form can eliminate the possibility of the registrant choosing both options. This is not possible with fax or mail-in registrations.

3. Less printing. Online registration means that you can present your entire event information package online. There is no need to pay for the printing of registration forms or expensive information packages and there will be more fax paper left in your fax machine.

With fax or mail-in registrations, the potential exists for organisers to make an error when manually transferring the data to a computer, either inadvertently or perhaps because the handwriting on the registration form is illegible. With online registration this is much less likely because the registrant knows how to spell his or her own name, for example, and is therefore not likely to misspell it. This is a highly inefficient use of an event organiser’s precious time.

6. Manage event capacity by applying automatic registration limits. Often, you want to limit the number of attendees to an event. With the old manual method there was no easy way to do this. Faxes might still be coming in when you had reached your event limit and then you would have to contact those registrants to let them know that you couldn’t process their registration because the event was full. With online registration, however, you can set the online form so that it limits the number of registrants to a particular event, or even to seminars and workshops within an event. Once the limit has been reached the form will not allow any more registrations and it will notify potential registrants that the registration limit has been reached. Obviously, you can also build some leeway into your limit to allow for your estimate of no-shows.

7. Real-time credit card processing gives certainty. When you use real-time online credit card processing, you get more of a commitment from participants. Within a few seconds they know if the transaction has been approved and you have the security of knowing you have the fees. Otherwise you may be waiting for a cheque and, in the meantime, you may have to put other registrants on a wait list until you know for sure that a registrant is attending.

8. Data inconsistencies are eliminated. With manual registration systems, information may be spread around in different folders, filing systems or different people may have different versions of attendee lists on their computers etc. This creates a real potential for inconsistencies, errors and headaches for both you and your customers. With online registration systems all of the information is held in one central database that can be accessed by authorised organisers from anywhere at anytime. Any changes or updates to the system are done automatically. Everyone sees the same information.

9. No deciphering messy handwriting or distorted faxes. Most faxes are hand-written and not everyone has the neatest handwriting, especially if they have to fill out several different fax-in registrations. Deciphering them can lead to errors or wasted time following up with people to try and clear up illegible information. Online registration eliminates this problem. Responses are typed in to the online form.

10. Totals are always correct. Online forms can be programmed to total all costs and fees associated with each individual registrant and with the registered group as a whole. Once the programming is complete and tested you are assured of getting the correct total for every registration. How to Find Your Favorite Kids Entertainer, Clowns, for Your Kids Party

As a professional kids entertainer and parent of four, I would like to share some of my experience with parents who are looking for entertainment for their kids party. Folks usually turn to professionals for solutions, they are willing to invest their hard earned cash to put on a kids party that would be fun and memorable for both their child and their guests alike. The purpose of this article is to shed some light on some key points to consider when hiring entertainment for your child's party.

Age appropriate:

What is the age range of the kids that you are looking to entertain? Usually, a parent would want entertainment not only for their child but for the guests as well. We know that your child likes Elmo, but you have invited other kids to the party as well. You may want to consider entertainment that would cater to the appropriate age group invited as opposed to just the birthday child. A professional entertainer would know how to make the birthday child feel special without making the other kids feel not included.

A clown isn't just a clown:

Please consider the person behind the make up. Performers vary greatly in approach and style. The best example is when people hire a costumed character, let's say Elmo. Please, consider the person who will be wearing that costume. Kids have an amazing intuition and can pick up on each others fears. A seasoned professional will know how to calm those anxieties very early on and bring the group together into the fun zone.

Use your best judgment:

Do some homework on the performer before you commit: Are they a full time kids entertainer? Are they patient and genuinely like children? (Kids require a lots of patience) Do they project a professional image? (Website, Demo, Costume etc.) Can you find reviews or testimonials on them? (Websites reviews, Local library reviews, etc.)

Budget:

Like any other service, you sometimes get what you pay for. Consider entertainment into your budget, a good entertainer can make your party all the worthwhile. It's not about quantity, it's about quality. If you want someone to do a magic show, a puppet show, sculpt balloon animals and do face painting for $150, then hire your neighbor's teenage son. Make sure to give him a $50 advance to get the supplies from the dollar store. But if you want a professional, make sure that they are specialized in their field and they are at the top of their game.

Logistics:

Consider to ask the performer these logistical questions before you commit: How much space do you need? Can you perform indoors and outdoors? Do you provide your own sound equipment? What do you need us to prepare for your act?

Planning a birthday party with a budget

Having worked as a full-time entertainer for over 6 years and performed at hundred's of children's birthday parties in people's homes, I have seen just about everything. From small intimate events of just the family to large extravagant affairs, birthday parties can be lots of fun for all attending.

This article will bring you some ideas on how you can plan a birthday party with budgets from $500 to $1,500.

Before we go into the budget, let us clear two major items that needs special attention: Venue and catering. The reason is that these items are very subjective in a party planning and their pricing varies a lot from companies to companies.

First, let us look at venue.

If you are living in a Condominium or a house, we highly recommend that you hold your party in the function or your house respectively. Having a party at or near your place would make logistic planning easier and of course, lower cost. You can save as much as $1,000 on venue alone if you host your party at your own premises.

Personally, I do not see the problem of hosting your party at your own premises. I have organized birthday party in a 3-room flat in few occasions!

If you are still uncomfortable with the idea, you can always book a room in venues like country clubs and hotels.

Booking of such venues are very tricky because different venues provide different prices. It is important to note that catering from their kitchen is a requirement for most venue bookings and most of them go by "cost per person" booking.

The average cost for hotel's function room bookings could range from $35 to $50 per person. The average cost for country clubs would range from $25 to $30 per person while other clubs like SAFRA clubs would range from $15 to $20 per person.

Thus, if you are looking at booking of venue (usually with catering), be sure to prepare budget of at least $600 for 20 children and 10 adults.

Next, let us look at catering.

If the party is scheduled during or close to dinner or lunch, serving food is essential. During a party, the children are usually having a so much fun, that serving a normal meal is not necessary or wanted. The children want to get back to party activities as soon as possible. Finger food like hotdogs, sandwiches, popcorns and chips are perfect. We also recommend packet drinks to minimize spilling. The cost would be on average $5-$8 per person, depending on the caterer of your choice.

Now that we have cleared budgeting for venue and catering, let us look at what we can get for various budgets:

How To Plan A Home Birthday Party

Having worked as a full-time entertainer for over 5 years and performed at hundred's of children's birthday parties in people's homes, I have seen just about almost everything. From small intimate events of just the family to large extravagant affairs, birthday parties can be lots of fun for all attending. However, if you have never planned one, were do you start?

Here are some party planning ideas that will help make your special day, fun and entertaining and it is usually within the cost of $800+.

If you follow a few of the suggestions, birthday party planning will be a piece of cake.

Date and Time:

The first thing you need to plan is the date and time of your party. Most people want to have their birthday party on a weekend afternoon. This is a good time for a party, but many times, it interferes with other weekend activities, such as sports, family outings, other entertainment events, etc. In addition, the best entertainers have weekend schedules filled first and early. If you want to have the party on a Saturday or Sunday afternoon, plan it far in advance as you can.

Saturday mornings are becoming very popular, as it interferes with fewer weekend activities, and when the party is over it leaves the rest of the day free for you and your guest.

Weekday, after school parties are becoming more and more common, Weekday parties are a great way to break up the week, and leave weekends free for other events.

Pick a few dates that you would like to have your party, and then check your child's activity schedule. Check out their friends and other family members whether they can attend and what may work for them. Before you cast the date in stone, call the entertainer you want at the party, check their schedule, and decide on the best date and time (see Entertainment below.)

Party Length:
The typical birthday party will last about 2-3 hours. Depending on your requirements, the typical timing for a birthday party would be:
30 minutes for guests' arrival, 60 to 90 minutes for activities and entertainment and 45 minutes for cakes and food.

Decide On A Theme:
You do not need a theme, but it will often help make the planning easier. If your daughter's favorite thing is Barbie, theme the party around that. If your son's into Star Wars, you have a perfect theme.

Many people will theme their parties around the entertainment they have planned. For example, a magician will be performing so the theme is MAGIC, a clown is coming to the party so it will be CLOWN or CIRCUS theme.

As far as themes go, do not worry that absolutely everything at the party must fit the theme. A few decorations are fine, a theme cake is great, but there is no reason to get stressed-out because you cannot find an entertainer that does a Star Wars show to fit your theme. Remember that a party should be fun for everyone, including the party planner.

Decorations:
When it comes to decorating, all you need to find are a few items that represent the theme. You do not need to have everything fit the theme of the party. A few major items are fine; the rest of the items can match in colors such as black and red for a Star Wars party. There are several party stores around the area that carry many, many different themes for parties. Call or visit them to see if they have the theme you are looking for. Remember you do not need to go overboard. A few strategically placed decorations are often better than every square foot covered in color.

Invitations:
This is the place where your theme should begin; the invitation will let everyone know the theme of the party before they even get to the party. It is also a subtle suggestion of gift ideas for those that do not have any idea what to get for a gift. Make sure your deliver the invitations a minimum of 2 weeks in advance before the party to give parents time to plan.
It is also recommended that you will put the "Come By X:XXpm" timing in the invitation card so that the guests will not be late for the birthday party.

Food:

A popular idea is to have the main cake that the child blows out the candles on and then you put it aside for "just" the family to enjoy latter. Serve small cup cakes to the guest, Kids love them and everyone gets the same size so no one is upset that some one else got a bigger slice or a decoration on it, etc.

Goodie Bags/Party Bags:
Times have changed, there used to be a day when the birthday child was the only one to get gifts. These days goodie bags for each child is necessary, this can sometimes be the most difficult part of putting the party together. The bags may carry the party theme; however, they do not need to. Goodie bags are something the children take home to remind them how much fun they had at your party. So be sure the bags are filled with fun things too! You do not need to overdo it either. A few inexpensive and fun items are all you need, plan on spending not more then $2 per Goodie bag. Remember the party is for the birthday child, not the guest.

Games and Activities:
You will usually need to plan at least one activity for the party, even if you do not have an entertainer coming. Activities can range from simple games to pony rides and bouncy castle. Do not deluge the kids with activities, give them time to visit but do not let them just run around the house.
